Job Title: SLP Art Fair Coordinator
Location: St. Louis Park, MN
Job Type: Seasonal (part-time beginning in Jan 2025; could be full-time leading up to the event) Compensation: $10,000 for entire project
Event Description: The SLP Art Fair is a vibrant, community-centered celebration of creativity, held annually on the first Saturday after Labor Day at the Recreation Outdoor Center (the ROC) in St. Louis Park. Organized by SLP Friends of the Arts (FOTA), the fair has grown into the organization’s largest annual event, attracting over 4,000 attendees for a one-day art fair.
Job Description: We are looking for an Art Fair Coordinator to oversee the event from planning to post-event wrap-up. This role involves coordinating with artists, vendors, and community partners to ensure a smooth and successful experience for everyone involved. Ideal candidates will have strong organizational skills, event coordination experience, and a passion for the arts and the St. Louis Park community. This position requires flexible scheduling, especially in the weeks leading up to the fair, with some evening and weekend hours needed.
Key Responsibilities:
Event Planning and Management:
○ Coordinate all aspects of the art fair, including vendor applications, volunteer
coordination, corporate sponsorship outreach, and logistics.
○ Liaise with artists, vendors, sponsors, and volunteers to ensure clear
communication and smooth coordination.
○ Coordinate and lead monthly committee meetings, partner with representatives
from the St. Louis Park City staff, FOTA Board, and the local community.
○ Delegate tasks and responsibilities to volunteers, community partners, FOTA
staff, and City staff.
Promotion and Marketing:
○ Utilize social media, email, community calendars, and traditional advertising methods to maximize event visibility.
○ Coordinate with FOTA and City of St. Louis Park staff to further marketing.
Vendor and Artist Relations:
○ Manage the juried selection process for tabling artists, music performers, and food vendors, including convening selection committee.
○ Serve as the main point of contact for participating artists and vendors, addressing inquiries and providing event details.
On-site Event Management:
○ Oversee event setup, ensuring all vendors have necessary supplies and space
allocations.
○ Manage event operations on the day of the fair, including addressing any issues
that arise.
Post-Event Activities:
○ Conduct a post-event evaluation to assess successes and areas for improvement.
○ Prepare a post-event report summarizing attendance, financial outcomes, and participant feedback to FOTA Board.
○ Assist with thank-you notes, acknowledgments, and follow-up communications with participants and sponsors.
Qualifications:
● Previous experience in event coordination, preferably in arts or community events.
● Excellent organizational and time-management skills.
● Strong communication and interpersonal skills.
● Close attention to detail
● Ability to work independently and as part of a team.
● Proficiency in Microsoft Office and social media platforms (Instagram and Facebook)
● Knowledge of and connections to the St. Louis Park community
